How to use a bill of sale

Print two copies
One for the seller and one for the buyer. Both copies get signed.

Fill it in together
Copy serial numbers, VINs, and hull IDs from the item itself, not old paperwork. Write "N/A" in anything that doesn't apply so nothing can be added later.

Sign and transfer
Sign the bill of sale and hand over any title or registration papers. For titled vehicles, sellers should then file a notice of transfer or release of liability with the state.
Frequently asked questions
Can I fill these out on my computer?
Yes. Every template has real form fields, so you can type into it in Acrobat, Apple Preview, or straight in your browser, then save or print the finished copy. Handwriting on a printed copy works exactly the same.
Does a bill of sale transfer ownership?
No. It is a record of the sale: who bought what, when, and for how much. For titled property like vehicles, boats, and some mobile homes, ownership transfers through the signed title and your state's registration process. Keep the bill of sale as proof of the transaction.
Do I need to get it notarized?
Most states don't require it, but some do, and some require it only for certain types of property. If yours does, sign page 1 in front of the notary and have them complete page 2. If not, you can leave page 2 blank or not print it.
Can I use these forms in my state?
They cover the details most states ask for, but some states publish their own official bill of sale form and require it instead. Check with your state's DMV, boating agency, or agriculture department before the sale.
Does the firearm bill of sale replace a background check?
No. The form only records the sale. Federal law requires sales between residents of different states to go through a licensed dealer (FFL), and many states require private sales to go through a dealer or include a background check. Check your federal, state, and local laws before selling.
What paperwork do I need to sell a horse or livestock?
It depends on the state and the animal. Horses often need a current negative Coggins test, and moving animals across state lines usually requires a health certificate (CVI). Many western states also require a brand inspection when cattle or horses change owners. The forms have spaces to record these.
What does "sold as is" mean?
The buyer accepts the item in its current condition, with no warranty from the seller. Listing any known defects on the form protects both sides.
Why do only some forms have an odometer section?
Federal odometer disclosure applies to motor vehicles like cars, motorcycles, and motorhomes. Trailers don't have odometers, boats track engine hours instead, and the ATV form uses a mileage and hours disclosure because many off-road vehicles have an hour meter or no meter at all.
